Summary of Essential Job Functions: * Work Activities/Context: o Provides friendly service to and maintains positive relationships with all internal and external Customers. o Works in a cooperative spirit to ensure the success of our Company. o Makes necessary entries in the Agent schedule database relative to trades as required by the labor agreement. o Receives telephones calls from Agents reporting ill, absent or tardy and accurately makes entries in to the Agent schedule database. o Ensures Southwest Airlines' compliance with FMLA law. o Assist Agents with DAT and EAD request and maintains those records. o Performs ongoing comparison of Agent schedule database to actual Agent activity to ensure accuracy of attendance and payroll records. o Input LWOP/OT in to RMS. o Communicate LWOP/OT assignments to Agent group. o Enter idle exceptions. o Issue and track headsets. o Input Team Leader changes in RMS. o Gather and distribute morning reports. o Prepare all documents needed for next business day. o Assist with projects. o Conduct research needed to resolve Agent daily activity. o Update reader board through out the day. o Prepares and maintains flowcharts, overtime, and WOP books. o Operates PC equipment utilizing reservation management system, spread sheet, word and excel. o Operates copy machine, FAX equipment and other standard office equipment. o Will perform Administrative Leader duties when needed. o Must be able to meet any physical ability requirements listed on this description. o May perform other job duties as directed by Employee's Leaders. Basic Qualifications: * High school diploma or equivalency required. * Must be at least 18 years of age. * Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986. * Clerical/secretarial experience. Qualifications and Requirements: * Physical Abilities: Ability to type and/or use a computer keyboard with sufficient speed to meet the demands of the job. * Skills/Abilities/Knowledge/Work Style: o Must be able to comply with Company attendance standards as described in established guidelines. o Must be able to work well with others as part of a Team. Clerical experience sufficient to ensure proficiency in all areas of the position. o Must be able to master several PC software packages. o Ability to read documents, follows instructions, learn and understand office procedures. o Must have judgment sufficient to handle and resolve office administrative tasks. o Must possess excellent organizational, mathematical, and analytical skills. o Must work under time constraints to accomplish assignments and projects. o Must be able to effectively and professionally communicate verbally, in face to face meetings and over the telephone. o Must possess good written communication skills. * Other Qualifications: o Must be able to work flexible schedule to include nights, weekends, and holidays as needed. o Must maintain a well-groomed appearance. |
